As the Project Support Officer, you will deliver a broad range of administrative and coordination support to ensure the smooth running of the project. From executive diary management and stakeholder liaison to correspondence tracking, document control and local systems support—you’ll be the organisational backbone of the project team.
Key Responsibilities
- Communicate with various levels of management, the general public, industry, senior executives from public and private organisations and divisional staff on a wide range of issues.
- Carefully analyse enquiries or requests from internal and external stakeholders, and research, determine and take appropriate action on behalf of the Manager (Project Support Office) and Project Director.
- Proactively manage diary requirements for the Project Director, including project governance and other key meetings, to enable efficient use of time. Schedule, organise and attend meetings, seminars and conferences and co-ordinate all necessary administrative support for such meetings. Take notes and prepare minutes for distribution if required.
- Monitor, maintain, update and progress correspondence and related filing systems to ensure deadlines are met and results are consistent with government and departmental standards.
- Provide accurate and effective support to the section of routine administrative processes for Human Resources, Finance, Procurement and other business requirements as required with a focus on completion of activities within required timeframes.
- Provide Local Systems Administrator (LSA) support and any necessary training for the timesheet management system.
- Provide records management support and guidance to section staff as required.
- Provide Document Control support particularly regarding archiving.
- Participate in capability development activities required to perform efficiently and
effectively in the role, and assist other team members to develop new capabilities when
required. - Participation in and contribution to the Administration Support Network.

- Demonstrated infrastructure project experience within an engineering enviroment
- Proven experience in providing high-level administrative support in a fast-paced and dynamic environment.
- Demonstrated understanding of scheduling and calendar management for senior executives, including meeting coordination and minute-taking.
- Familiarity with working within the public sector or large organisations, with a commitment to upholding confidentiality and adhering to privacy regulations.
- Exceptional organisational and time management skills, with the ability to manage competing priorities and meet strict deadlines.
- High-level communication skills, both written and verbal, with the ability to liaise effectively with a diverse range of internal and external stakeholders.
- Strong attention to detail and problem-solving skills to anticipate and address the needs of the Project team.
- A proactive and resourceful approach to tasks, with a commitment to delivering high- quality outcomes under pressure.
- Resilience and adaptability to navigate ambiguity and changing priorities in a fast-paced project environment.
