Kingston Human Capital are working with a state government client who is seeking an experienced Executive Coordinator based in Buderim.
Your new role
As the Executive Coordinator, you will provide high-level administrative and executive support to the Regional Project Director. You will be the go-to person for ensuring the smooth operation of the RPD’s office and will play a critical role in enabling the successful delivery of the region’s major projects.
To excel in this role, you will be a highly organised and adaptable professional with a strong ability to manage competing priorities. You will have exceptional communication and interpersonal skills, with the ability to build strong relationships across a diverse range of stakeholders.
Key Responsibilities:
- Manage the RPD’s inbox, including monitoring, prioritising, actioning and responding to emails, and ensuring timely follow-up on critical matters.
Manage the RPD’s calendar, including scheduling meetings, appointments, and travel arrangements. - Prepare and coordinate meeting agendas, minutes, and follow-up actions.
Act as the first point of contact for the RPD, managing correspondence, phone calls, and inquiries. - Coordinate and prepare high-quality reports, presentations, and briefing materials.
- Maintain accurate records and ensure the confidentiality of sensitive information.
- Liaise with internal and external stakeholders, including senior executives, project teams, and community representatives.
- Monitor and prioritise tasks to ensure deadlines are met.
- Provide general administrative support, including document management, expense reconciliation, and procurement activities.
- Proven experience in providing high-level executive or administrative support, preferably in a project or government environment.
- Demonstrated experience in managing a busy inbox, including prioritising and responding to emails on behalf of an executive.
- Strong organisational and time management skills, with the ability to manage multiple tasks and deadlines.
- Excellent written and verbal communication skills, including the ability to prepare professional correspondence and reports.
- High level of proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Demonstrated ability to handle confidential and sensitive information with discretion.
- Strong problem-solving skills and the ability to work independently and as part of a team.
- Knowledge of government processes and procedures (desirable).
- Contract up to May 2029
- $60.06 per hour + 12% Super (Agency Contractor)
- Buderim Location
- Full time hours (Monday to Friday)
