In this role, you will be responsible for undertaking daily project administration functions and providing high level project support to projects across the Digital Innovation Division, helping to guide Project Managers on the efficient and effective delivery of projects and enable them to focus on project delivery.
Key responsibilities and tasks
- Undertaking specific project support activities using recommended project control solutions to plan and initiate activities of projects in line with project objectives and timelines.
- Monitoring budget and providing regular financial reports to Project Managers, including purchase order creation and goods receipting using SAP
- Preparing and drafting a range of project reports, spreadsheets, planning documentation and other correspondence
- Organise meetings, workshops, forums and focus groups with internal and external stakeholders and take required minutes.
- Undertaking project board preparation including room bookings, agendas and minutes
- Assist with updating registers in Enterprise Project Online
- Assist in managing project artefacts through the Department’s eDRMS and Sharepoint to ensure the timely availability of information to support and evidence project decisions.
- Manage project email inboxes and disseminate the information to required parties
- Undertaking onboarding and exiting processes for new project staff
- Develop and build good working relationships with key stakeholders
What you will need to succeed
- Prior experience supporting ICT enabled projects, in a complex operating environment
- Capable of prioritising, scheduling, and performing work to meet deadlines, commitments, and client service standards including managing conflicting priorities and diverse stakeholder expectations.
- Demonstrated skills in the use of project management tools and their application including demonstrated skill in the financial, functional and technical management of project activities and the ability to support the administration of entire project teams.
- Demonstrated ability to work independently, and as a member of a high performing team, in a complex operating environment.
- Ability to successfully pass a Criminal History Check
- Experience using SAP, Content Manager, and Enterprise Project Online
- Understanding of PRINCE2 or Agile methodologies
- Prior experience supporting projects within Government
- Long term contract until March 2028, with potential 12-month extension
- Hourly pay rate of $60.00 + 12% Superannuation
- Full time hours - 40 hours per week, Monday to Friday
- Brisbane CBD location, with flexible work arrangements (3 office / 2 remote)
